How to Schedule

Weekly Times should be arranged directly with us over phone/text (805-680-6015) or email (michaelhansonmt@gmail.com)

Individual Sessions (Zoom Only) being booked on an As-Needed Basis should be scheduled online via this link: https://app.greminders.com/c/thetutornator. The only exception would be if you’re trying to book something with less than 2 hour's notice (or 24 hours in the case of weekend appointments). In this case, text/call/email me and I’ll help you directly.
How to Join a Session​​​​

That’s it. No password required. These links will work for their respective tutors EVERY session, EVERY time, whether we’re talking about your weekly session or a one-off.

Session Rates
-
The rate of a given session is determined by its length, your rate status, and how many students are involved.
-
The rate of a given session is NOT affected by whether it’s in-person vs. on zoom, who the tutor is, the content of the session, or whether it’s a regularly scheduled weekly session vs. a one-off appointment

Unless you secured the TUTORNATOR status via a promotional offer, refer to the STANDARD rates.

If you did qualify for Legacy or Tutornator status, you may still have prepaid hours of credit. That’s what “cred” refers to in the tables below.

Group Sessions
-
These rates are unaffected by individual student rate statuses. Don’t worry, you’ll be getting a discount no matter what your status if you choose to study as a group.

There are no penalties or fees if the actual number of students to participate ends up being fewer than planned.. The rates will always shift to match the number of students who actually show up. If everyone cancels or reschedules, refer to the penalty fees described for 1-on-1 sessions.

If different students participate for different lengths of time, we will adjust the rates accordingly. For example, if Bob and Rosa wanted to do a joint session for two hours, but Bob only did one while Rosa stayed for both, they would pay the group rate for the first hour and Rosa would pay the 1-on-1 rate for the second.

Scheduled vs. Confirmed​

Scheduled - If you have a weekly time you are automatically scheduled for that time every week. If you book an individual session with more than 24 hours notice, you are then scheduled for that time. If you are scheduled for a time, no one else can take it from you unless you fail to confirm your session before the day of. If you have not confirmed your session and someone else is requesting it, we reserve the option to give it to them.

Confirmed - You must confirm sessions by following the link in the reminder emails and selecting “Confirm”. You’ll receive these reminders 4 Days before each session and again 2 days before each session if you don’t respond to the first reminder, and yet again 24 hours before if you don’t respond to either of the first two reminders. If you don’t confirm by 12 hours before a session is set to begin, your time will no longer be secure.

If you’re not seeing the reminder/confirmation emails, check your spam and if you find it there, mark it as “Not Spam”. The rest should come through just fine. If you’re still not seeing them, please let us know.

There will be no fee for failing to confirm. We will still assume that you want to work at the scheduled, but unconfirmed time.

Once Confirmed, your session is completely secure. No one can take it from you. It will not expire. The session is happening unless you cancel/reschedule or your tutor has a personal emergency.

If you book an individual session with less than 24 hrs notice, you will automatically be confirmed. Don’t expect any reminder emails. You will already be confirmed so there will be no need to follow up. The zoom link will be in your initial booking email. As a reminder, you may use the respective zoom links for each tutor every time you work with that tutor.

Cancellation Policy for Zoom Sessions

If you need to cancel you MUST notify us as soon as possible by the same link that appears in all of the reminder/confirmation emails.

If you cancel with more than 12 hours notice, there is no fee. Simple as that. You’re all set. Not a problem, no harm done.

If you cancel with between 1 and 12 hours notice there will be a cancellation fee of $40 or 0.5 credits. Or $20 or 0.25 credits if your session was scheduled for 30 minutes or less.

If you cancel with less than an hour’s notice or a NO-SHOW, you will be charged for the entire planned session. A NO-SHOW will be defined by the following:

Being scheduled (it doesn’t matter if you’re confirmed or not)

Not canceling before the appt time
-
Not immediately responding to the text that we send you five minutes after the appointment is supposed to begin and taking steps to join the meeting as quickly as possible.

Rescheduling Policy for Zoom Sessions

You can reschedule anytime, whether you’re confirmed or only scheduled. The same link that you use to confirm and cancel appointments that appears in all the reminder texts/emails features an option to reschedule.

Is there ever a fee for rescheduling? Yes, but it is a little more flexible than the cancellation policy.

You can reschedule for a new time with at least 4 hours before the session WITH NO FEE. The new time must be less than a week away and is subject to my availability.

If you reschedule with between 1 and 4 hours notice before the original time, there will be a $40 or 0.5 credit fee. ($20 or 0.25 credit for sessions planned for 30 minutes or less)

If you’re a NO-SHOW or give less than 1 hour’s notice and then ask to reschedule, you may do so, however you will be charged the full session rate for the originally planned session.

Session Length Reduction Policy for Zoom Sessions

Try to book the amount of time you’ll actually need, because that is the amount you’re going to be charged.

If you wish to reduce the length of your session, you can notify us up to 4 HOURS before the appointment begins to do so with no fee. Less notice than this will require you be charged for the originally scheduled session length.

If you wish to extend the session, text/call/email us directly and we’ll see what we can do.

Spare time in a session can always be used for extra practice problems, previews of upcoming topics, or standardized test prep.
-
Ending a session early is permitted, but only with parental approval.

Policies for In-Person Sessions

The cancellations, rescheduling, and session reduction policies delineated above are all specifically for zoom sessions. If you need to take any of those actions for an In-Person Session, you must inform us at least 24 hours before or you will be charged for the entire session.

If you use our Online Calendar to book an In-Person time, you may receive a follow up message directly from me either adjusting the time of the booking or canceling altogether, depending on whether traffic and location will allow me to see you at the requested time and place. Unfortunately, that is not something the automated scheduling system can manage on its own.

Payment Policy

You can pay via Venmo or Zelle.
-
Please respond to the invoices we send, rather than initiating a new payment. This helps keep the records clear.

Each invoice must be paid before any further sessions take place.

You have the option to prepay for multiple sessions at once. If you choose to do so, you must buy at least 4.0 hours of prepaid credit. We will keep track of your remaining credits and keep you up-to-date on your balance.

Prepaid half hour sessions are cheaper than one-offs! For students with the Standard Rate, this means the $50 half-hours effectively drops to $40, and for students with Tutornator Rate, the $40 half-hours effectively drops to $37.50.

Prepaid credits are good for sessions on any subject with any tutor on the team.
